The Law Association of New Zealand (“TLANZ”) complies with the New Zealand Privacy Act 2020 (the Act) when dealing with personal information. Personal information is information about an identifiable individual (a natural person). This privacy statement explains how TLANZ manages the personal information we hold. It explains what information we collect, why we need it, how we will use it and who we might share it with. It also explains how we protect personal information and your rights to access or correct the information we hold about you.

Should you require access to any personal information that we hold about you OR should any of the information we hold about you be incorrect, please ask us to correct it.

Changes to this statement

We may update this privacy statement from time to time, to reflect changes to privacy law or our operations. This privacy statement was last updated in May 2025.

What personal information we collect

We manage your personal information in accordance with the Privacy Act 2020, including the Information Privacy Principles (IPPs), which govern how personal information is collected, used, stored and disclosed.

We collect personal information for the purposes of delivering services to members, supporting professional development, facilitating committee work, and administering products such as Legal Forms, LawNews, and events.

These lawful functions relate to our role as a membership organisation representing legal professionals and supporting continuing professional development.

We may collect or create the following personal information about you:

• Members and Prospective Members:
  Full name, contact details, qualifications, education history, employer, professional role, Law Society registration status, participation in events, and membership preferences.
• CPD Attendees and Presenters:
  Name, contact details, dietary requirements, billing information, CPD attendance records, feedback and survey responses, and photographs or video from events.
• Committee Members:
  Name, e-signature, professional details, contact information, dietary preferences, participation history, and contributions to LawNews or advocacy activities.
• Event Attendees – name and contact details, dietary preferences, financial information, photos and video of events and attendees, responses to surveys
• Customers (including Legal Forms and LawNews subscribers, MSuites customers) – name and contact details, transaction history, financial information
• Demographic Information (Optional):
  Ethnicity, gender, pronouns, and other diversity data provided voluntarily to support equity and inclusion initiatives. This information is only used in anonymised and aggregated form.
• Website Interactions and Communications:
  Logs of communications, forms submitted online, marketing preferences, and analytical data collected from website activity.
• Unique Identifiers:
  TLANZ may assign a membership number or other internal identifier. We do not use identifiers from other agencies unless required by law.

Legal Forms and Digital Signing Services

When using Legal Forms, any personal information entered—including information about third parties—is held by TLANZ solely for the purpose of providing the Legal forms service. TLANZ does not access, use, or disclose this information for any other purpose, except:

• As required to facilitate the Digital Signing Service (provided by a third party)
• For storage by our trust service provider

You remain responsible for ensuring that any personal information included in forms is collected in accordance with the Privacy Act. Please refer to the Legal Forms Terms and Conditions for your obligations.

The Digital Signing Service is provided under separate Terms and is subject to the privacy policies of the third-party provider. We recommend reviewing those terms before use.

How we use your personal information

Your personal information helps us to support our membership, deliver products and services, run an efficient and compliant business, and carry out our lawful functions. To meet these purposes, we will use your information to:

• Members – administer your membership and communicate with you about your membership.
• CPD attendees– manage your attendance and participation in CPD, including where you have chosen to do so, keeping a record of your CPD
• CPD presenters – engage and support you in providing CPD presentations
• Committee members – support you in fulfilling your role as a committee member, including communicating with you about this role
• Event attendees – communicate with you about the event and invite you to future events
• Customers – to administer and facilitate transactions (e.g., via Legal Forms, Bookstore, LawNews and MSuites).
• To better understand our audience and improve the relevance of our advertising and communications, including through the use of third-party platforms like Google, Meta, and LinkedIn.
• Information to enable a member of the public to contact a suitable lawyer to carry out legal work, including a lawyer’s practice areas and languages spoken.

In addition, we may from time to time communicate with you about products or services that we offer, or that our partners wish to offer.  We may also send you surveys from time to time to help us and our partners improve our products and services.  We respect your choices about receiving such communications from us.

When we disclose your personal information

In order to meet the purposes for which we collect personal information, we may need to disclose information to third parties from time to time. We may disclose personal information about you to:

• our trusted service providers, including those who provide and support our technology services
• third parties, where you have agreed we can do so
• other committee members when you are a member of a committee

We may also disclose information where legally required, such as under court order, or to comply with legislation such as anti-money laundering or financial reporting obligations.

Where personal information is transferred to overseas recipients, we will take reasonable steps to ensure those recipients are subject to privacy protections that are comparable to those in New Zealand, in accordance with the Privacy Act.

All third-party service providers are contractually required to maintain appropriate privacy and security safeguards when handling personal information on our behalf.

We do not rent, sell or lease your personal information to any third parties.
As set out above, we may publish photographs and videos taken at our events.

How we protect your information

We implement technical and organisational safeguards to ensure your information is protected from:

• Unauthorised access
• Loss or misuse
• Alteration or destruction

Access to personal information is restricted to authorised personnel on a need-to-know basis. We store data in secure systems and regularly review security protocols.

Information is retained only for as long as necessary to fulfil the purposes for which it was collected or to meet legal obligations. When no longer required, personal information is securely deleted or destroyed.

Embedded content from other websites

This website may link to other websites or include embedded content (e.g., videos, images, articles, etc.). These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content. TLANZ is not responsible for how these other websites process your personal information and recommends you review those other websites’ privacy statements for this information.

Automated tools / AI use

Where we use automated tools or artificial intelligence to support our operations or marketing, we ensure that appropriate human oversight is maintained, and Privacy Impact Assessments are conducted as required.

Use of cookies and online tracking

Our website uses cookies and related technologies to:

• Improve website functionality and user experience
• Analyse website traffic and browsing patterns
• Enable personalised advertising and content

Cookies are small text files stored on your device. You can adjust your browser settings to disable cookies; however, doing so may affect your use of some features.

Third-party tools we may use include:

• Google Ads
• Meta Pixel (Facebook and Instagram)
• LinkedIn Insight Tag

These tools help us deliver relevant advertising and assess campaign effectiveness. Any data collected through these tools is anonymised or de-identified and used in compliance with the Privacy Act.

We do not share identifiable personal information with advertising platforms. However, aggregated and hashed data may be used to build custom audiences and deliver targeted advertising.

Information sharing

We may share cookie-related information with our advertising and analytics partners, who may combine it with other information you have provided to them or that they have collected through your use of their services. Privacy breaches

Inadvertent privacy breaches may happen despite good processes and the best of intentions. As soon as a breach is discovered, TLANZ personnel are required to advise their Manager and the Privacy Officer. The Privacy Officer will work with the relevant personnel to contain the breach, assess the breach, determine whether notification to the Privacy Commissioner and/or any affected individuals is required, and address any specific privacy concerns.

We assess all breaches using the Privacy Commissioner’s guidelines for determining whether serious harm has occurred, and notify affected individuals and the Commissioner when required.
